Privacy Notice - Consumer Surveys

This document describes and inform about how Volvo Cars (as defined below) collect, processes, use, store and transmit your personal data when you engage with one of our consumer surveys (hereinafter “Consumer Survey”).

1. Who we are
The entities that are jointly responsible for the processing of personal data in relation to the Consumer Surveys are Volvo Car Corporation, having its registered office at Assar Gabrielssons Väg, 40531 Gothenburg, Sweden, company registration number 556074-3089 (hereinafter, “VCC”), and VV AUTOS, S.A.S., located at La esperilla No. 248, Santo Domingo, Dominican Republic, commercial registration number 365477, hereinafter referred to as “Volvo Cars”, “we”, or “us”.
Our Company complies with personal data protection regulations established by Law 172-13 of 2013, and is concordant with the Dominican Republic regulations and to the Regulation (EU) 2016/679 (General Data Protection Regulation).
2. What personal data we can process and why
- Name and last name
- Gender
- Physical and postal address
- Telephone and/or cellular phone number
- Date of birth or age
- Vehicle data, such as type, model, vehicle identification number (VIN) and license plate
- Type of contract, number, relation with the vehicle (start and end date of the contract/sale)
- Opening percentages/clicks
- Time and interactions on our platform
- Geographic location
- IP address
- Language preference
The information we collect, with your authorization, will be used exclusively for:
- Processing your data to send costumer surveys and analyze consumer performance by segments. This allows us to improve commercial business operations and costumer experience. The data management is based on our legitimate interest to improve our commercial business objectives as well as the customer experience to which your survey response relates to.
- Processing your data for statistical analysis and reach measurements as well as to understand the interests of our customers. For this analysis, email invitations contain so-called web beacons or tracking pixels which display single-pixel image files, that are also embedded on our website, where we ask for your consent to display them. Data processing is based on our legitimate interest to understand the general performance of the survey as well as the corresponding interaction.
- Being able to assist with your information requests regarding the products and services we offer.
- Complying with our contractual obligations during the term of services and with any other obligation you acquire with us.
- Enforcing our contractual rights.
- Providing notifications regarding the contractual relationship; and
- For any other activity authorized by you in writing.
Even if the service is not performed or if the contractual relationship expires, the user authorizes Volvo Cars and its affiliates to use the data for: (i) Data update request; (ii) Research, studies or statistics of the Company and Economic Group.
Volvo Cars, its affiliates, and the personnel holding access to your information, will handle it confidentially even when the relation with the user has finalized.
3. How long we keep your data
Your responses to consumer surveys will be retained for up to ten (10) years from the time you submit your responses. After, they will be anonymized, but may continue to be used for research, study and/or reporting purposes.
To keep answers secure, the invitation to offer feedback provides you with an individual questionnaire that no one else can access. The survey website and our data storage facilities have security measures in place to protect the loss, misuse, and alteration of the information under our control.
Only certain authorized employees have access to the personal information you give us. They only have access for case management, data analysis and quality control.
4. Who we share your personal data with
We can share your personal data, to the necessary extent, with third parties, as for example:
- Our internal and external parties who guarantee our service, internal and/or external, such as technological (IT) solutions providers.
- Our internal and external parties in charge of the consumer surveys, who are limited by contract, with regards to the use of the interested party’s personal data for any purpose other than offering services in compliance with each data processing agreement.
Your personal data can be disclosed and processed by the Distributor/retailer of your choice (if applicable) and by the Companies of the same business group as Volvo Cars. In case of companies that belong to the same group as Volvo Cars and whose headquarters are outside of Dominican Republic, Volvo will transfer your personal data in compliance with local, state, and federal laws and other applicable regulations.
5. Your rights in relation to the data processing we perform
As data subject you have specific legal rights granted by the Republic of Panama relating to the personal and confidential information, we process about you (access, rectification, cancellation, and opposition of your data that we maintain in our database). You/The interested party can exercise your/their rights by sending us an e-mail to the following e-mail address: globdpo@volvocars.com. It’s important to mention that in the moment you will send your/their request that you/the interested party shall/must provide complete information which allows us to verify that you/they are the person from whom we are processing personal data and describe your/their request as precisely as possible for us to evaluate and respond accordingly. If the information given by you/the interested party does not allow us to verify the identity to meet your/their request accordingly to the data protection norms of the Republic of Panama.
Your request will be answered within the timeframe set by data protection norms of the Republic of Panama. In a period, not exceeding 10 business days, we will send your data information which rests in our database. In case you want to rectify, cancel, or oppose any data, you can write to the same email address. If the case applies to the data protection norms of the Republic of Panama, we will send the data in a term not exceeding 5 business days.
It is important to reinforce that we, as Volvo Cars, as well as our affiliate, do not sell our databases, totally or partially, for any reason.

7. Changes to our Privacy Notice
We reserve the right, at our discretion, to modify our privacy practices and update and make changes to this privacy notice at any time. For this reason, we encourage you to review it frequently on our website, changes and clarifications will take effect immediately after they are posted. This privacy notice is current as of the date which appears at the top of the document. Your personal data will be handled in accordance with the privacy statement under which they were collected unless you consent to them being process otherwise.
